COMMITTEE MINUTES
May 7, 2002

 

 

 

 

Present: Terry & Judi Nichols, Sandy Schwartz, Al Fredrickson, Phil Reece, Eric Schmidt, Dan Murphy,  Bob Voll, Jon Paul, Peggy Schuchard, John Vermie, Craig Louthain, Ed Blondin, Dannette Holifield, Bob Fuller, Marion Elvin, Susie & Andy Shadrick.  The meeting was called to order at 6:30 pm.

Treasurer’s Report: Please see attached.  Submitted and reviewed by Jon Paul.  Terry and Jon will try to determine what the troop’s average camping expense is for one scout.

Committee Business: Phil requested that any items for new business be submitted at the beginning of the meeting to help better manage time and meeting length.

Website:  John still needs Committee Meeting Minutes from last month.

Lockwood Park:

·        Bill will be picking up the wood and Sandy will arrange a time for a few scouts and adults to fix the picnic table.

·        July 20: tentative date for service project out there (4 hours) – that will include the entire troop.  Hours will be 9am-1:30pm with sack lunches there.

Philmont:

§         Andy suggested a contest for Scouts to design their own T-shirts or patches.  The winner may get a $100 discount, paid by troop.  This helps get them motivated and excited about Philmont.  The committee liked the idea, so Andy and Eric will work on it.

§         The next payment is due on 5/14/02 for $50.  The “tab” sheet was passed out at family night.

Tents:

§         No extra tents were needed for the past two outings.

§         Eric & Jon are looking into buying new tents – more information next month.

Galena: 

·        Was cold & wet!!!!

·        One problem: food for one patrol was in a different vehicle (the truck) than the scouts – lunch was late until the food was acquired, about 2:30.

·        Still having a small problem with medications – they were left at camp while the boys were in town.

·        Don’t split your groups up – made it harder to keep track of them

·        Several boys did not have lunch money – which needs to be communicated better to all.  Leaders need to be prepared as this happens when working with boys.

·        Splitting into small groups with an adult worked very well in Galena.

·        The troop has a history of going to Galena for two years in a row, then one year in Springfield.  Next year the troop is scheduled to go to Springfield, which is Saturday morning to late Sunday.

The Triple “P” Challenge:

·        The troop took first place overall, and several other ribbons.  The weather was great.

·        General organization was a problem, so Phil put together a duty roster to try for future campouts.  This would be put on the back of the phone lists.  There would be an adult organizer who makes sure everything is arranged, moneys are collected, etc.  There needs to be one adult as the Medical Advisor; this person would handle first aid.  One responsible adult would be in charge of all medications – keeping them safe and dispensing them as needed.

·        It is important to know in advance who will be the “scoutmaster” for the event, so that the boys know who is the authority and in charge.  This will be noted on the duty roster, which should be posted.

·        The adult advisors and SPL/ASPL will complete the duty roster.  The adult organizer will assist with this.

·        It is important to select the adult organizer at least a couple of weeks in advance.

·        Suggestion: The Triple “P” Challenge should be reserved for First Class and above.  However, the organizer will modify the length of the events; suitable for younger scouts too.

Camp Lakota:

·        May 17-19, 2002.

·        Marion went there and made the arrangements.  She reserved our campsite.  She prepared detailed information that was handed-out to scouts last night.

·        Who, and number of advisors attending needs to be determined.  This is important, as there will be several events occurring at the same time.

·        Scouts who are just going to Union/Railroading M.B. can be brought there directly by their parents.

·        Scouts need to declare their intentions by the middle of next meeting or they can’t go.  Late add-on’s has been a problem for previous outings.

·        Scouts going on the campout only may use the extra time to work on advancement.

·        Drivers will probably be needed.  (4 adults are in training that weekend and are not available.)

·        Dutch ovens – each patrol will fix breakfast in them and one dish for a potluck supper.  Sandy, Phil, Pack 429 (two), Marion (1 or 2) can provide Dutch ovens.

·        Adults should review menus carefully to make sure they are appropriate for ages of boys and coordinates with Dutch ovens.  Marion will coordinate this campout

CPR:  Bill LeFevre scheduled Saturday, June 1st, at Fire Station from 8am to noon - $15 per person - 12 people maximum.  This course is approved for adults and scouts.  Eric will set up a second course.

Summer Camp:

§         Sandy needs more time meeting with Scouts to get them signed up for merit badges.

§         There is “climbing certification” and “safe swim defense” for adults who are interested.

Isle Royale:

Correction: One of the crews is going July 14th and the other crew is going on August 11th.  Each crew leaves on Sunday and returns on Sunday.

Order of the Arrow Elections: Only 2 of the 7 candidates were elected.  The Troop Committee can elect one adult for OA; Bob Voll was elected.  The inductions will take place either at the Spring Fellowship or Fall Conclave.

Training:

·        The second Wood Badge course is tentatively scheduled for September.

·        We have 2 members wanting to attend; Peggy Schuchard and John Vermie.  Motion: The troop will pay for their fees.  Motion passed.

·        Council Junior Leader Training: We have four scouts registered and paid for June 9-15, 2002.

Eagle Courts of Honor:

            Ronny Kemker – April 20

            Eric Paul – June 8

            Adam LeFevre – June 8

            Jon Decorie – June 15

Certified Life Guard: No one signed up for this.

Merit Badge List: Eric is continuing to update list.  John will put it on the website.

Cherry Valley Days: We will run the Pepsi trailer for this – August 23-25, 2002.  The troop will earn about $800.

Backpacking Merit Badge:  Ed will open it up next Tuesday for any scout that is interested.  Age and size should be considered to meet the physical requirements. 

New Business

Swim Nights: The committee voted to have swim nights on Tuesday nights and committee meetings on Monday nights.  Sandy will research availability of pool and fire station.  The troop moved to give Marcus Tryggestad, our lifeguard, American Express gift certificate for $50.  Motion was passed.  Sandy will get it.  Thanks!  Next year, Al would like part of a meeting prior to the swim nights to prepare some of the scouts for the aquatic merit badges.

T-shirts: Motion to buy more green T-shirts for boys and adults who need them.  Motion was passed.  Susie will survey the troop to determine need.  Polo shirts are available for adults for an extra $6 approx.

OA Spring Fellowship: Peggy will go to part of it.  (CPR is the same weekend.)

Blackhawk Area Regatta:  is for Scouts 14 years and older on July 27, 2002.

Webelos Overnight in Belvidere: Amy Ramos is asking for Scouts/Scouters to help with this event by greeting people on June 20, 2002.  Marion will coordinate it. Thanks!

Troop Rules & By-Laws: Eric distributed copies to the committee.

Flags for Ranks: Some troops have flags that the boys sign when they reach the appropriate rank.  Susie will look into information for it. Thanks!

Hunger Connection: The troop received a thank you note from them, read by Bob Voll.  Great job!!!

Next month: Please present any new business topics at the beginning of the meeting.
